1. Definitions

1.1. This website is operated by White Wolf Hospitality Pty Ltd
Customers are referred to as “you”, “your”, “client”, “customer”. White Wolf Hospitality Pty Ltd is referred to as “we”, “us”, “our”

2.General

2.1 By accessing or using any part of the site, you agree to be bound by these Terms & Conditions
2.2 Our online e-commerce platform is hosted on Flex Catering, allowing us to sell our products and services to you.
2.3 We reserve the right to change these Terms and Conditions at any time. Any such changes will take effect from when they are posted on the website and it is your responsibility to read the Terms and conditions on each occasion that you use this website. Your continued use of the website shall signify your acceptance to be bound by the latest Terms and Conditions.
2.4 When you place an order we collect certain personal and transactional information (e.g. name, address, email address, credit/debit card details). For details on how we use this information, please read our privacy policy.

3.Ordering

3.1 All orders that are being placed on this website are subject to these Terms and Conditions.
3.2 Acceptance of order and completion of contract are made once the order is confirmed by us and payment is being processed. 
3.3 Our hours of operation are Monday - Friday from 8am-4pm. Orders placed outside of these times will be processed on the following business day.
3.4 Public Holiday orders are available on request. Surcharges will apply. We require morning collection for these orders and are unable to offer delivery.
3.5 We reserve the right not to accept any order due to one or more of the following:


3.5.1 A product is out of stock.
3.5.2 Payment has not been authorised.
3.5.3 Error in pricing or product description.
3.5.4 Technical failure of the website.


3.6 All products are subject to availability. In the unlikely event that we are unable to supply you with your request, we will notify you as soon as possible.
3.7 On occasion the product specification may change. If this does happen, we will do our best to contact you to offer you a substitute item of the same or better quality, at the same price. If you are not happy with the replacement item offered to you, we will refund you for the original unavailable item.
3.8 All sizes and measurements are approximate.
3.9 All images of products in terms of colour etc. might vary from the online platform. We cannot guarantee that the image is an identical representation of the product.
3.10 Amendments to Orders;


3.10.1 We will always try our best to accommodate any changes to Client’s orders. However, we request that all adjustments be submitted by 72hrs prior to your scheduled delivery or pick up, via email.
3.10.2 If amendments are needed within the 72hrs before your event, we ask that you call us to discuss what options we have available, they are not guaranteed. 
 

3.11 Ordering cut off times


3.11.1 Corporate orders are to be placed 72 hours prior to the time that the delivery is required, Monday to Friday. For example, an order required for delivery Thursday 11am must be ordered and confirmed by Monday 11am.
3.11.2 Private orders are to be placed & confirmed 7 days prior to the date required. 
 

3.12 Confirmation of Details;


3.12.1 Menus, final numbers & dietary requirements are to be confirmed 7 days prior to the event for Private, and 72hrs prior to the event for Corporate. If the final numbers decrease after confirmation has been made, we will accommodate where possible.

4.Dietary Requirements

4.1 White Wolf Hospitality and our suppliers prepare all food in accordance with the Food Standards set by Food Standards Australia. 
4.2 While we will endeavour to accommodate all dietary requirements for guests with allergies or intolerances & limit any cross-contamination of allergens. The Client accepts that as all food is prepared in a kitchen environment where trace allergens may be present and there can be no guarantee that specific foods will be allergen free during preparation or presentation. Although we may provide dietary labelling as a guide, White Wolf Hospitality will accept no liability for the supply of foods that cause an allergic reaction.
4.3 Any and all food allergies that may be applicable must be disclosed to White Wolf Hospitality at the time that the catering is booked, as some food allergies can be serious, and even fatal.

5. Delivery

5.1 A flat delivery fee of $20 will be applied to CBD and all surrounding suburbs. Further suburbs will be subject to additional costs.
5.2 Delivery is available between 8am and 5pm weekdays (excluding public holidays & closure dates). Deliveries outside of these hours may occur additional fees.

6.Payment / Prices

6.1 All prices are quoted in AUD and are inclusive of GST, but exclude delivery costs &/or surcharges unless otherwise stated.
6.2 All quotes are subject to availability at the time of booking and a 50% deposit is required to secure. No event is considered confirmed until deposit has been received. The balance will be invoiced upon confirmation of numbers 7 days prior to the event and full payment of the function is required prior to the event date, unless other arrangements have been made previously. Any additional charges will be invoiced after the event.
6.3 Due to seasonal availability &/or significant market price fluctuations, all prices are subject to change without prior notice. Notice will be provided to the client where practicable to see if you would like to go ahead with the order at the correct price or cancel the order
6.4 We accept payment by VISA, Mastercard, AMEX & EFT – surcharges will apply to all credit card transactions.
6.5 Please make sure you receive a receipt of payment via email as well as a confirmation of your order. Failure of either to arrive might indicate that the order has not gone through successfully.

7.Hire of Platters

7.1 Any damage to or loss of hire equipment caused by the client, client’s guests, venues or venues employees will be charged to the client and invoiced after the event.

8.Cancellations

8.1 You have the right to cancel your order from when the order is placed up to 7 days from the day of your event. Your notice of cancellation must be made to us via email. For our contact details see section 10 in these Terms and Conditions. 
8.2 We understand that sometimes clients are forced to cancel or postpone orders due to circumstances beyond their control. We will always do our best to find a new home for cancellations and will work with you to minimise incurred costs as best we can.
8.3 In the event that a confirmed booking is cancelled within 7 days, White Wolf Catering reserves the right to full payment of total booking cost.

9.Intellectual Property

9.1 You acknowledge and agree that the material and content contained within this website is made available for your own personal and non-commercial use and that you may only download such material and content for the purpose of using this website. You further acknowledge that any other use of the material and content of this website is strictly prohibited and you agree not to (and agree not to assist or facilitate any third party to) copy, reproduce, transmit, publish, display, distribute, commercially exploit or create derivative works of such material and content.
